MediEazy is a medical practice management platform operated by Leiten Technologies (P) Ltd., ("Leiten", "we", "us", "our"), a company registered in India with its head office at:

2. Scope of this policy

This policy describes how Leiten Technologies handles personal information in connection with:

  • The MediEazy website (medieazy.co.za)
  • The MediEazy software platform (web and mobile apps)
  • Sales, marketing, and support communications related to MediEazy

It is intended to align with the Protection of Personal Information Act, 2013 (POPIA) of South Africa, the country in which our customers operate, and with applicable Indian data-protection law.

3. Information we collect

3.1 Information you give us

  • Demo & sales enquiries: name, email address, phone number, practice name, role, doctor count, province, and any message you send us.
  • Account information: if you become a customer, account credentials, billing details, organisation name, and configuration choices.
  • Support communications: any information you provide when contacting our support team.

3.2 Information collected automatically

  • Technical data: IP address, browser type, device information, referring URL, and pages visited.
  • Usage data: features used, time spent, click patterns, and error logs.
  • Cookies & tracking: as described in Section 8 below.

3.3 Health information (for customers only)

When a medical practice uses the MediEazy platform to manage patients, the platform stores patient information on behalf of that practice. The practice is the responsible party (data controller) for such information; Leiten Technologies acts as an operator (data processor) in line with Section 5 of POPIA.

4. How we use your information

We use the information we collect to:

  • Respond to demo, sales, and support enquiries
  • Provide, maintain, and improve the MediEazy platform
  • Send service-related communications (account updates, security alerts, billing)
  • Send marketing communications, where you have consented or where permitted by law
  • Comply with legal obligations and resolve disputes
  • Detect and prevent fraud, abuse, or unauthorised access

5. Lawful basis for processing

We process personal information on one or more of the following bases:

  • Consent — e.g., when you submit a demo request
  • Performance of a contract — for active customers
  • Legal obligation — e.g., tax and accounting records
  • Legitimate interest — for service improvement and security, balanced against your rights

6. Sharing your information

We do not sell your personal information. We share it only with:

  • Sub-processors who help us run the platform — hosting, email delivery, analytics — under written agreements that require POPIA-compliant handling.
  • Clearing networks & integration partners — where required for the service you have requested (e.g., transmitting medical claims via Medikredit or Medprax).
  • Authorities — where required by law, court order, or to protect the rights and safety of MediEazy, our customers, or the public.
  • Successors — in the event of a merger, acquisition, or sale of assets, subject to equivalent privacy protections.

7. Cross-border transfers

Because Leiten Technologies is based in India, some processing may take place outside South Africa. Where we transfer personal information to a country that does not provide an adequate level of protection under POPIA (Section 72), we put appropriate safeguards in place — including contractual commitments — or rely on a lawful basis recognised under POPIA.

8. Cookies & analytics

Our website uses cookies and similar technologies to make the site work, remember your preferences, and analyse usage. We may use third-party analytics providers (such as Google Analytics) to help us understand how visitors use our site. You can control cookies through your browser settings.

9. How we secure your information

We protect personal information through reasonable technical and organisational measures, including:

  • Encryption of data in transit (TLS) and at rest where appropriate
  • Role-based access control inside the MediEazy platform
  • Regular security reviews and patching of dependencies
  • Hosting on infrastructure with South African data residency for customer data
  • Audit logs of administrative and access events

No system can be guaranteed 100% secure. If a security incident affects your information, we will notify the South African Information Regulator and affected individuals as required by POPIA.

10. How long we keep information

We retain personal information only as long as needed for the purposes described above, or as required by law. Demo enquiries that do not become customers are typically retained for up to 24 months. Customer account data is retained for the life of the account and for a reasonable period afterwards in line with legal and tax obligations.

11. Your rights under POPIA

If you are in South Africa, POPIA gives you the right to:

  • Be told what personal information we hold about you
  • Request access to that information
  • Ask us to correct or delete inaccurate or outdated information
  • Object to certain processing, including direct marketing
  • Lodge a complaint with the Information Regulator (South Africa)

To exercise any of these rights, email info@leitenindia.com with the subject line "Privacy Request". We will respond within a reasonable time, typically 30 days.

13. Children

MediEazy is a B2B service for medical practices and is not directed at individuals under 18. We do not knowingly collect personal information from children outside the scope of patient records managed by their healthcare provider through the platform.

14. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page indicates when changes took effect. Material changes will be communicated through the platform or by email to active customers.
